No two trips sit at the same stage.
At any given time, there are itineraries being built, refined, and finalized, often all at once.
A group of 16 traveling to Sardinia in early June is now only a couple of weeks away from departure. Most of the framework is already in place, but the final stages still involve a tremendous amount of coordination. Villas, restaurant reservations, catamaran charters, transportation, beach clubs, and private dining experiences are all being finalized so the trip flows effortlessly once everyone arrives.
At the same time, a group of 10 heading to a private villa in Anguilla next week is in a different phase entirely. Private chefs, beach setups, boat days, dining reservations, transportation, and curated excursions are all being finalized so there is nothing left for them to think about once they arrive.
Alongside this are more intimate trips. A couple traveling to Cap Juluca in Anguilla where the dynamic shifts slightly. Because they have traveled over time, there is already a familiarity in how they move, what matters to them, where details make the difference, and how they like their time to feel.
That comes with a different level of expectation. It is not simply about getting it right. It is about ensuring the experience continues to evolve. New ideas need to feel aligned, nothing can feel repetitive, and every detail needs to land exactly as expected.
A lot of that is handled well before arrival. Dining preferences, pacing, experiences, and the smaller personal touches that shape a stay are thought through in advance so everything feels considered without ever feeling overdone.
There is also a family currently planning a two week journey through Japan later this summer. The itinerary spans four different cities, balancing major urban centers with quieter experiences, while coordinating hotels, transfers, pacing, guides, and activities in a way that feels seamless despite the complexity behind it.
Then there are other trips, like a group of eight traveling to Spain and Morocco, where multiple teams, hotels, flights, and timelines all need to align across several destinations. At the same time, two separate families are preparing for Italy departures over the coming weeks.
All of this is happening simultaneously, often between calls, messages, meetings, and everything else that fills the day.
Planning Further Ahead
Not all travel is immediate.
Some of the most in demand experiences require planning far in advance. Festive travel in particular is rarely something that comes together last minute. The most sought after yachts and villas are often secured more than a year ahead, especially over peak holiday periods.
What appears available often is not.

Building systems within a CRM to collect and manage guest information. Ensuring the right data is captured to deliver a seamless experience across a large group. Aligning timelines, payments, communication, and logistics in a way that feels organized from the very beginning.
At this scale, small gaps quickly become much larger problems if they are not addressed early.
A large part of the work is putting the right systems and processes in place so nothing is left to chance later on.
And like everything else, this exists alongside the day to day operations while other trips continue moving forward simultaneously.

While some trips are still being planned, others are already underway.
And even once clients depart, the work does not stop.
